AFM board meeting minutes

Honestly, wouldn't it be pretty simple with a laptop and a meeting program just to do it live, seems simple enough since I do it with friends on a smaller scale?

There have been several threads on this, but no-one has stepped forward who can actually do it. I am not a techie :nerd

1-- have to get BoD approval to do this and
2-- the recordings would have to belong to the AFM, and hence, be only on the AFM site.
Talk to Eric Snyder about the process.
It would be great to get that going again. Please do ask the BoD.

AFM business does not belong on BARF in this fashion.

I'll do the research today to see about live web meeting with possible instant messaging or something. I get that it's been brought up before but I think it's time for a revisit and I'll spearhead it.

As I said, if anyone has anything to offer about any of the tech side of things please pm me or post up, I promise I won't waste your efforts!

In this day and age, if it's possible to do, at a low or no cost option, I applaud you for offering to do it.:Port I'm not sure what shareware/inexpensive options are available. Something like GoToMeeting requires a license purchase and I doubt the club needs any extra expenses in this economy.

@ Rob-- have you signed up to join the members only section of the forum? The minutes are posted in a 'board communications" section that only club members have access to, but that access is not automatic; you have to request it (in case you didnt know).
The minutes are usually up within a few days. They have to be finalized and approved by the board for accuracy before posting.
My understanding on the rain discussion is that it can be entertained, but there is a more pressing matter to be dealt with. The rain policy doesn't need to be changed overnight and will take some time to get a full scope of the implications (ie: additional insurance costs, actual cost benefit analysis, etc, if any) before and real discussion can be had. So, I understand it's up for ideas, but it is only in the idea stage.

I will check into that, I wasn't aware there was a different section. I have created a log-in and will see what else I need.

Here is one option I found that is free and advertise based and can host as many as 200 users which I assume is way more than we will need.

There are some really good options out there that would cost the club less than 1000 bucks a year which in the long run is not that much considering cost and reward for the membership, how much do we pay to ship our Director, that's not a hit just a consideration to the value of the cost of a live web meeting.
 
I need the press' email so I can talk to him about the viability of this even being an option so I know how far to take this? On the AFM site I could only find general contact and I would like to go strauight to the top?

1-- all the contact info is in the rule book AND on the website
try "contact info" then "board members" just below that
Chris is also listed on the "contact us" page under "contingency"
*not meaning to be a dick, but I am tired of answering the same goofy question every other day.
You really should talk to Eric too.


2-- you can always use afm@afmracing.org and direct your question to him

i use this stuff at work *all* the time. it is great for meeting minutes. instead of having to write down a bunch of blather from 25 people for 2 hours, I record the meeting.

Then I do a transcript from the recording. Takes a bit of time for this but still

Then can do minutes from transcript

That is if everyone wants to know who said what to arrive at what vote. if you don't need to do that, let everyone chat, then call for vote, then publish votes for motions in instead of detailed meeting minutes with a link to the recorded session (hosted) and people can listen to the blather that happened before the vote :thumbup

We don't have a reliable Internet connection at the meeting location. This shit comes up every.single.year. Shawnery, thanks for your offer...and Kyle is correct...lots of hands up, very little follow through. It's a volunteer club and we appreciate all the help we can get. Eric Snyder and Geoff Linder were instrumental and valuable in getting the meetings recorded the last few years. Thanks go out to them.

If you'd like to take up that mantle Shawnery, the membership would value it. You're an AFM member, you shouldn't feel like an "outsider". Yeah, you ask some goofy questions in a convoluted manner, but so what...Any AFM'er would be available to help you...of that I'm pretty certain. If no one else will, come find me. I will.

ROB: the answer your question, we tabled any rain talk until the off season. There wasn't a pressing need to address that issue now over the other issues that came up.
To note on meeting minutes: these are not ever going to be a non-fictional transcription of every thing said and done at the meeting. In fact, their purpose it to record votes and the meat of the discussion. While it would be fantastic to have complete court reporter type logs of our meetings, we don't have a steno graph and our minutes vary from secretary to secretary, meeting the requirements for such minutes. To be honest, reading the minutes for a meeting will give a good idea the vote count, but tends to miss a large part of the discussion taking place. For that, the video worked well and attending in person or calling someone who has (like a BOD member) works best.

Thanks for the information. I'm really glad I didn't drive up to the meeting, as I would have been very dissapointed that a current topic of concern with a bunch of interest from many members isn't going to be discussed until the off season.

I understand there are many things going on and you may not vote on it the first week after it happens, but I naively thought it could be voted on by the next meeting.
 
For this to really be worth the effort I would like to see the club put some small effort, any effort is fine, into assuring the club as a whole and not just the BARF/AFM crowd know it's happening even if only at the AFM site.

I think it's great that the few and really it is few people that express concern for the club on here but there needs to be a way to draw the entire club in and inform them that their opinions and time are valued just as much as the board.

If this was to really get off the ground perhaps there could be something put in a news letter to be sent out and/or something discussed at a race weekend riders meeting.

I understand we are a long way from getting this off the ground but it would still be good to know that at some point it's more than just us on barf.

I've never been particularly envolved in the going ons of the club but I have been around long enough to understand it's an endurance race not a sprint race when it comes to change in this club.
 
A couple posts back, Dave said that there was more pressing issues at hand, rather than deal with the rain issue.

May I ask what issue that was? Just a brief summary... no need for specifics on the discussion. I'll show up if I want to hear all that. :)

And I ask not in the I don't believe you way, because I do, I think the rain talk can wait until the off-season, I ask because I want this club to be around for a long time to come -- I plan on racing in it... and if there's a pressing issue that concerns me.
 
Recording and hosting is a SIMPLE solution. GoPro's can record what, 30 minutes at a time?
 
I've opened a test account for myself and the club and anyone else who is interested in trying it out, with anymeeting.

It seems to be the totally FREE option that is more than able to do what the club needs including recording the conversation and video if need be.

I'll be reading the manual and doing some personal tests with the product and in a couple days I will begin a new thread informing those that are interested in how to help out on a larger scale test.
